ShipGenius Data Practices for Shopify

This page describes how ShipGenius LLC handles information it receives from a Shopify store connected to a ShipGenius Account. It supplements the ShipGenius Privacy Policy, which continues to apply in full. Where this page describes something more specifically than the main policy, this page governs for Shopify data.
Our Role
When you connect a Shopify store, you remain the data controller for information about your customers, and ShipGenius acts as a data processor on your behalf. We process that information only to provide the fulfillment services you have asked for, and only in accordance with your instructions and the settings you configure.
The ShipGenius Shopify app is a connector. Installing it does not, on its own, send us anything: syncing begins only after you connect the store to a ShipGenius Account and enable it, and it stops when you disable syncing or uninstall the app.
Information We Receive From Shopify
Access is limited to the permissions you grant when you install the app, and ShipGenius requests only the permissions its fulfillment features require. While a store is connected and syncing is enabled, we may receive:
(A) Order records: order and reference numbers, order dates, order, payment, and fulfillment status, order tags, currency and item totals, and the line items ordered
(B) Recipient information needed to deliver the order: the recipient's name, shipping address, and the email address or telephone number supplied for delivery contact
(C) Product and inventory records: product and variant names, SKUs, barcodes, weights and dimensions where supplied, and inventory quantities by location
(D) Store locations: the names and addresses of locations you map to ShipGenius facilities
We do not receive from Shopify:
(A) Payment card numbers, bank details, or payment credentials. These remain with Shopify and its payment providers and are never transmitted to ShipGenius
(B) Shopify account passwords or staff login credentials
(C) Storefront browsing behavior, session recordings, analytics, or marketing profiles
How We Use It
We use information received from your Shopify store solely to provide services to you, specifically to:
(A) Import your orders so they can be worked and fulfilled
(B) Compare shipping rates across Carriers and apply the shipping rules you configure
(C) Produce shipping labels, packing slips, and customs documentation
(D) Write tracking numbers and fulfillment status back to your Shopify store
(E) Keep inventory quantities aligned between ShipGenius and Shopify
We do not sell this information. We do not use it for advertising, we do not use it to build marketing or behavioral profiles, and we do not use it to train machine learning models. We do not disclose it except as described in "Third-Party Data Sharing" in the Privacy Policy — principally to the Carrier selected to carry a shipment, which receives the recipient information necessary to deliver the package. Our Carrier partners currently include DHL eCommerce, DHL Express, FedEx, Passport Global, UniUni, UPS, and USPS.
Retention and Removal of Personal Information
ShipGenius treats production data from connected stores as sensitive by default. Order and product records received from a Shopify store are retained in identifiable form for two months from the date we receive them.
After that two-month period, the personally identifiable information within those records — including recipient names, shipping and billing addresses, email addresses, and telephone numbers — is obscured in our production systems, so that the remaining record no longer identifies an individual.
What remains after that point is a non-identifying record — for example order dates, SKUs, quantities, package weights and dimensions, service levels, and shipping costs. We retain those records for operational purposes such as reporting, cost reconciliation, and resolving billing disputes with Carriers.
Two things sit outside that schedule:
(A) Shipment records held by a Carrier are governed by that Carrier's own retention policy, as described under "Data Retention" in the Privacy Policy. Obscuring a record in ShipGenius does not remove it from a Carrier's systems
(B) We may retain information for longer where it is reasonably necessary to prevent or investigate fraud, resolve a dispute or chargeback, enforce our agreements, or comply with a legal obligation
Uninstalling, and Requests to Delete Data
Uninstalling the app stops all further syncing immediately. Information already received is handled as described below and under "Retention and Removal of Personal Information" above.
ShipGenius implements the privacy webhooks Shopify requires of every app, and acts on them as follows:
(A) Shop erasure: forty-eight hours after you uninstall the app, Shopify notifies us and we delete the connection records and stored credentials for your store
(B) Customer erasure: when erasure is requested for a specific customer, Shopify notifies us and we remove or obscure that customer's personally identifiable information from the records associated with your store
(C) Customer data request: when a customer asks what data is held about them, Shopify notifies us and we provide the information we hold to you, so that you can respond to your customer as the data controller
You may also contact us directly at info@shipgeni.us to request access to, correction of, or deletion of data associated with your store. These rights are subject to the legal exceptions described in the Privacy Policy.
Your Responsibilities
As the data controller, you are responsible for having a lawful basis to share your customers' information with ShipGenius, and for maintaining your own customer-facing privacy notice describing that your fulfillment provider processes order information on your behalf. ShipGenius processes that information only on your instructions.
